What you can build for procurement

01

Supplier contract review

Supplier contract review reads a contract and pulls out the parties, value, term, liability cap and signatures. It checks them against your policy and sends failures to Legal for approval, with a short decision summary.

Build an agent that reviews supplier contracts against our procurement policy. Extract the parties, contract value, term, liability cap and signatures. Check that the liability cap clause exists, the contract value is under $2,000,000 and all parties have signed. If any check fails, send it to Legal for approval. Then write a short decision summary.

02

Supplier onboarding check

Supplier onboarding check reads the application form, business registration, insurance certificate and bank details letter. It checks names match, insurance is current, the bank account is in the supplier's name and a registration number is stated, then sends problems to the procurement manager.

Build an agent that checks a new supplier's onboarding documents before the supplier is set up for payment. From the application form, business registration extract, insurance certificate and bank details letter, extract the legal name on each document, registration number, address, application date, insurance details and expiry, and the bank account name and number. Also have the extractor state whether the legal name is the same on every document, whether the insurance expires after the application date, whether the bank account name matches the legal name, and whether a registration number is stated. Check all four are Yes. If any check fails, send it to the procurement manager to approve, reject or request documents. Then write a short onboarding record.

03

Tender compliance check

Tender compliance check reads a tender response and the mandatory requirements. It checks every mandatory document is included, the response is signed, a price is stated and delivery is on time, then sends gaps to the category manager before scoring.

Build an agent that checks a tender response for compliance before evaluation. From the tender response and the mandatory requirements list, extract the bidder, submission date, total price, proposed delivery date, documents included, whether the response is signed, the mandatory documents and the required delivery date. Also have the extractor list any missing mandatory documents (or None), state whether a total price is stated, and state whether the proposed delivery date is on or before the required date. Check no mandatory documents are missing, the response is signed, a price is stated and delivery is on time. If any check fails, send it to the category manager to exclude the response or request the missing item. Then write a short compliance record.

How it works

Your rules. A person's decision. A record.

01

Send the documents

Upload contracts, supplier forms and tender responses.

02

Apply your policy

Your thresholds and required clauses are checked the same way every time. Anything that fails pauses for a person.

03

Keep the record

Each run records what was found, what was expected and who approved it.

What it doesn't do

Be clear about the limits

  • No legal advice. Agents flag what your policy asks for; Legal decides.
  • They don't connect to your procurement or vendor-management system.
  • These agents check documents against rules you set. They do not replace the people who make the decision.
  • We have tested these: each completed a clean test set and flagged the errors we planted in a flawed one. Test on your own files before relying on them.
