Every claim, notice and variation checked in time

Payment claims, variations, extension of time notices and subcontractor paperwork all run on deadlines. Agents check each document against the contract and the clock, and send anything that doesn't stack up to a named person before it costs you.

What you can build for construction contract administration

01

Subcontractor compliance check

Subcontractor compliance check reads the subcontract, licence, insurance certificates and SWMS. It checks names match, licence and insurance are current at site start, public liability is at least $20 million and the SWMS is signed, then sends gaps to the contracts administrator.

Build an agent that checks a subcontractor's documents before they start work on site. From the subcontract, trade licence, public liability and workers compensation certificates and SWMS, extract the legal name and ABN on each, site start date, licence and insurance expiry dates, public liability cover and whether the SWMS is signed. Also have the extractor state whether the name is the same on every document, whether everything expires after the site start date, and whether cover is at least 20,000,000. Check names match, everything is current, cover is sufficient and the SWMS is signed. If any check fails, send it to the contracts administrator. Then write a short compliance record.

02

Progress claim check

Progress claim check reads a payment claim with the schedule of values and approved variations. It checks every line, variation, retention amount and the total, then sends differences to the quantity surveyor before certification.

Build an agent that checks a subcontractor's progress claim before it is certified. From the payment claim, schedule of values and approved variations register, extract each line's scheduled value, percent claimed and amount, each claimed variation, retention and the total. Also have the extractor state whether every line equals scheduled value times percent claimed within 1 percent, list variations not in the approved register (or None), and state whether retention and the total are correct. Check all of these. If any check fails, send it to the quantity surveyor. Then write a short claim assessment record.

03

Variation request check

Variation request check reads a variation and its site instruction. It checks the references match, the cost breakdown adds up, the time impact is stated and the request is signed, then sends gaps to the project manager.

Build an agent that checks a construction variation request before it is approved. From the variation request and the site instruction, extract the instruction references, the cost breakdown lines, the total, the extension of time claimed and whether it is signed. Also have the extractor state whether the references match, whether the breakdown adds up to the total within 1 percent, and whether the time impact is stated, including zero days. Check all of these and that the request is signed. If any check fails, send it to the project manager. Then write a short variation assessment record.

04

Payment schedule check

Payment schedule check reads a payment claim and the draft schedule. It checks the schedule is within 10 business days, every amount withheld has a reason and the totals reconcile, then sends failures to the contract administrator as urgent before it is served.

Build an agent that checks the response to a construction payment claim under security of payment law before it is served. From the payment claim and draft payment schedule, extract the date the claim was received, the amount claimed, the schedule date, the scheduled amount and each amount withheld with its reason. Also have the extractor work out the business days from receipt to the schedule date, state whether every withheld amount has a reason, and whether the scheduled and withheld amounts add up to the claim. Check the schedule is within 10 business days, every amount withheld has a reason and the amounts reconcile. If any check fails, send it to the contract administrator urgently. Then write a short payment schedule record stating the deadline.

05

EOT notice check

EOT notice check reads an extension of time claim with the contract clause and programme. It checks the notice period, the clause, the days claimed and the evidence, then sends gaps and time bar risks to the project manager.

Build an agent that checks a contractor's extension of time claim. From the EOT claim, the contract clause extract and the programme, extract the notice date, the delay start date, the delay event, the clause cited, the notice period in the clause, the days claimed and whether programme evidence is attached. Also have the extractor work out the days from delay start to notice. Check the notice was within the notice period, a clause is cited, days are claimed and evidence is attached. If any check fails, send it to the project manager, noting any time bar risk. Then write a short EOT assessment record.

How it works

Your rules. A person's decision. A record.

01

Send the documents

Upload a payment claim, variation, EOT notice or a subcontractor's compliance pack, with the contract extract it relies on.

02

Apply the contract and the clock

Notice periods, response deadlines, retention and cover limits are checked the same way every time. Anything late or missing goes to a named person.

03

Keep the record

Each run records what was checked, the dates and amounts found, and who decided, ready for an adjudication or audit.

What it doesn't do

Be clear about the limits

  • Time limits differ by state and by contract. Set them from your contract and the security of payment act that applies; the agents don't give legal advice.
  • Business days exclude weekends but not public holidays unless you list them.
  • They don't connect to your project management or accounting system. They check the documents you give them.
  • These agents check documents against rules you set. They do not replace the people who make the decision.
  • We have tested these: each completed a clean test set and flagged the errors we planted in a flawed one. Test on your own files before relying on them.
