Every confirmation, certificate and claim checked against the contract

Physical commodity trades run on documents that have to agree with the contract: the counterparty's confirmation, the documents presented under a letter of credit, the inspection and weight certificates, and the owner's demurrage claim. Agents check each one and send anything that doesn't match to a named person before money moves.

What you can build for commodity trading

01

Letter of credit document check

Checks the documents for a letter of credit presentation against the credit: invoice amount within the credit and its tolerance, shipment by the latest date, the right ports, a clean bill of lading and the same beneficiary on every document.

Build an agent that checks the documents for a letter of credit presentation before they go to the bank. From the letter of credit, the commercial invoice and the bill of lading, extract the credit number, beneficiary, credit amount and tolerance percentage, latest shipment date, port of loading and port of discharge; the invoice beneficiary, credit number and amount; and the bill of lading shipper, on-board date, port of loading, port of discharge and any clauses about the goods or packaging. Also have the extractor state whether the invoice amount is within the credit amount plus tolerance, whether the on-board date is on or before the latest shipment date, whether both ports match the credit, whether the bill of lading is clean (no clause about damaged goods or packaging), and whether the beneficiary is the same on the credit, invoice and bill of lading. Check all of these. If any check fails, send it to the trade finance officer. Then write a short presentation check record.

02

Trade confirmation check

Checks a counterparty's trade confirmation against your signed contract: commodity and grade, quantity and tolerance, price, Incoterms and named place, shipment period and payment terms all match, and the confirmation is signed.

Tested: clean set completed; 3 of 3 planted errors flagged.

See the brief

Build an agent that checks a counterparty's trade confirmation against the signed sales contract. From both documents, extract the contract number, buyer, seller, commodity and grade, quantity and tolerance, price and currency, Incoterms and named place, shipment period and payment terms, and whether the confirmation is signed by the counterparty. Also have the extractor state, for each term, whether the confirmation matches the contract, and list any terms that differ (or None). Check every term matches and the confirmation is signed. If any check fails, send it to the trade operations lead. Then write a short confirmation check record.

03

Quality and quantity certificate check

Checks the independent inspector's quality and weight certificates against the contract: every result inside the contract's rejection limits, the certified quantity within the contracted tolerance and both certificates issued for the right vessel and signed.

Tested: clean set completed; 3 of 3 planted errors flagged.

See the brief

Build an agent that checks the independent inspector's certificates for a cargo against the sales contract. From the contract quality and quantity clause and the certificates of quality and weight, extract the contract number, vessel, contracted quantity and tolerance percentage, each quality parameter with its typical value and rejection limit, the certified result for each parameter, the certified quantity, the vessel and contract number on each certificate, and whether each certificate is signed. Also have the extractor list any parameters outside the rejection limit (or None), state whether the certified quantity is within the contracted quantity plus or minus the tolerance, and whether the vessel and contract number match on both certificates. Check all of these and that both certificates are signed. If any check fails, send it to the trader to accept with a price adjustment, claim or reject. Then write a short certificate check record.

04

Laytime and demurrage claim check

Recalculates an owner's demurrage claim from the charter party and the statement of facts: laytime starting after the notice of readiness and turn time, excepted periods deducted, the agreed demurrage rate and the claimed amount.

Open DocyDocy AIReviewer: Claims analyst

Tested: clean set completed; 3 of 3 planted errors flagged.

See the brief

Build an agent that checks a shipowner's laytime and demurrage claim before it is paid. From the charter party terms, the statement of facts and the owner's claim, extract the laytime allowed in hours, the notice of readiness turn time in hours and the demurrage rate per day; the time the notice of readiness was tendered, the time loading or discharge was completed and each excepted period with its hours; and the claim's laytime start, hours deducted, time on demurrage, rate and amount claimed. Also have the extractor calculate laytime start as tendered time plus turn time, time used as completion minus laytime start minus excepted hours, time on demurrage as time used minus laytime allowed, and the amount as demurrage hours divided by 24 times the charter party rate, and state whether the claim's laytime start, hours deducted, rate and amount each match. Check all of these. If any check fails, send it to the claims analyst. Then write a short demurrage check record.

How it works

Your rules. A person's decision. A record.

01

Send the documents

Upload a letter of credit with the documents you will present, a counterparty confirmation with your contract, the inspection certificates with the contract spec, or a demurrage claim with the charter party and statement of facts.

02

Check them against the contract

Amounts, dates, ports, trade terms, quality results, quantities and laytime are compared the same way every time. Anything that doesn't match goes to a named person.

03

Keep the record

Each run records what was checked, what was found and who decided, ready for the counterparty, the bank or an audit.

What it doesn't do

Be clear about the limits

  • They don't execute, price or hedge trades, and they don't give market advice.
  • They don't screen counterparties for sanctions or KYC, and they don't submit documents to a bank or decide whether a bank will pay.
  • Letter of credit and charter party terms vary. The examples use common terms; set the rules from your own credit and charter party.
  • These agents check documents against rules you set. They do not replace the people who make the decision.
  • We have tested these: each completed a clean test set and flagged the errors we planted in a flawed one. Test on your own files before relying on them.
